Woodlands FAQ

Once booked, can I reach out if I need help in my planning?

Please do! We (Stephen and Janelle) will always help you along the way, never a question too big or small. We are really the only ones that work here, so you know who you are talking to.

Can I bring my own food and drinks during the day when getting ready?

Of course! Bring whatever you like! We do not require food to come from anywhere specific when here getting ready prior to the wedding. We allow you to bring personal alcohol during the day without hiring extra staff. We do collect and control alcohol during the event and return it to you after the event concludes.

Can I come to the bridal suite early?

Yes, we allow for early arrivals for $400 per hour if the venue is available. Reach out to if you would like additional hours to determine if we can accommodate an early arrival on your day.

Is a rehearsal included in the venue fee?

Yes we include a 1-hour rehearsal with the venue rental the day before your wedding, typically rehearsals are scheduled at 11am.

Do I have to pay extra to use venue items like arbors, cornhole, string lights, steamers, etc?

No, if its here you are welcome to it, we don’t play that game! The only add-on we have is the Sparktacular, everything else is here for you!

Do you have an honest breakdown of costs prior to booking?

Yes! Let us know if you would like to see this estimate prior to touring. We also include this information in our tour packet. We want couples to understand costs prior to booking to ensure Woodlands is a good fit. No secrets over here!

Do you take commissions from catering and other vendors that makes my vendor/food costs higher?

NO!!!! Some venues in the area take commissions from their required caterers/vendors to acquire additional funds from you. Venues often have required vendors add a percentage on the couple’s invoice- sometimes up to an additional 20% in “service fees”! We do not do this here. We are proud to refer quality vendors because they are awesome, not to backhandedly get more money from you in hidden fees.

Why is there a required list for certain vendors?

Because to be honest, finding a reliable, experienced caterer/bar company/planner and DJ can be a challenge. Trust us, we allowed a lot in our first few years. We know the vendors on the required list are going to do an amazing job for you and the day will run smoothly. Plus they take care of Woodlands so it is perfect and clean every single day. Other companies out there may sometimes seem cheaper-but remember, you often get what you pay for. We want your wedding day to be remembered for being perfect, not for not having enough food for everyone or a DJ insulting your grandparents by playing offensive music unrequested.

If my caterer has rentals included in their packages, can we utilize those or do we need to go through Colorado Party Rentals?
Yes! If they are coming directly with your caterer, we allow the use of those items.

Can we leave items overnight at the venue if we plan to take the shuttle home?

Yes. We will chat about a pack up plan at your final walkthrough but you can leave items overnight, we do require pickup prior to 11am the following day.

Can guests leave their cars overnight if they decide to take the shuttle?

Yes! We want people to be safe, we just kindly ask that cars are picked up prior to 11am the following day.

Can my rental items from Colorado Party Rentals be picked up the following morning to avoid higher delivery fees?

Yes! We actually prefer that all rentals are picked up the following morning, cutting down on you having to pay late-night pickup fees! Easier for everyone.
