Facility Rental Includes

  • Exclusive use of the venue facilities from 12pm - 11pm. Events must end by 10pm due to county regulations, vendor cleanup is from 10pm-11pm.

  • All venue access begins at 12pm, including dressing suites. Early access for additional setup/teardown/getting ready may be granted with written approval and is billed as additional venue time at $400 per hour. Additional hours for event time over 6 hours is not permitted.

  • Venue Management as primary contact prior to event and present during event, walk-through, and rehearsal time.

  • All setup and tear down is taken care of by staff including Woodlands staff, your coordinator, and catering. Family is not permitted to complete setup or teardown of the event. Enjoy yourself!

  • The venue is heated for winter gatherings and has air conditioning for the summer months.

Catering

  • All catering is arranged through one of our required, full-service caterers for all events. There are many great companies to choose from to fit a variety of budgets and styles!

  • Caterers not on the required list are not permitted but we do allow special service such as ice-cream trucks, coffee carts, etc-please inquire.

Alcohol

  • All alcoholic beverages must be catered by Peak Beverage.

Rental Equipment

  • Colorado Party Rentals is our exclusive provider of all rental items (including china, glassware, flatware, and linens). All equipment rentals must be rented from Colorado Party Rentals. If Colorado Party Rentals is unable to provide a specific item that you request, you may rent that item from another supplier with Venue approval.

Event Coordinator

  • We require a professional and insured wedding event coordinator for the day of your event. The event coordinator will ensure that all of your event details and timeline go smoothly. We want you and your guests to have a wonderful time at Woodlands and an event coordinator on the day of your event will be a valuable resource.

  • Coordinators not on the Woodlands preferred vendor list will require approval prior to hiring.

  • Throughout your planning process we are always happy to help answer questions, send photos, or provide any information before your planner begins working with you. Don’t ever hesitate to ask us!

  • We are excited to also offer in-house coordination services! Starting at $2,000.

Visiting Woodlands

  • We love showing clients and potential clients around the venue. Please email us directly to make an appointment to be sure the venue will be open and available.

  • Guests are not authorized to visit Woodlands without an appointment. Please note that our personal residence is also on the property.

Parking and Shuttle Service

  • On-site parking is limited to 60 personal vehicles. A shuttle service to and from Woodlands is highly recommended for any event serving alcohol, and is required for all events with over 150 guests. You can arrange this service, or we can provide recommendations on services available in the area.

  • Ride share such as Uber and Lyft work well to arrive at the venue. However, are difficult to arrange for leaving the venue when more than one car is requested. Wait-times range from 15 minutes to over one hour.

  • We want you and your guests to be safe. Leaving vehicles overnight is allowed: pickup must be before 11am next day.

Scheduling & Payment

Payment Schedule

  • At the time of signing the contract, 50% of the facility fee.

  • At 6-months prior to event, 75% of total facility fee.

  • At 3-months prior to event, 100% of total facility fee.

Placing a date on Hold

  • A single date can be placed on hold with no obligation for up to 5-days with issued contract and invoice.

  • Only one date can be placed on hold at a time

  • Dates can only be placed on hold once.  If the contract expires, we can reissue the contract and you will have 12-hours to sign and complete.

Inclement Weather

  • Colorado is known for its year-round beautiful weather. If the weather isn’t exactly what you hoped for, Woodlands is prepared to make sure the venue still is. We can keep all of your guests dry and warm inside the barn or under the covered and heated patio. So, while we cannot cancel events due to inclement weather, we will do our best to make sure it is still a beautiful and memorable occasion.

Decorations

  • The Woodlands property and surrounding area are forested. For the protection of the land and our neighbors, we cannot allow fireworks or open flames of any kind on the property, This includes all sparklers.

  • We do allow real candles in the venue as long as they are contained within a glass votive, hurricane lamp, or glass pillar.

  • In order to keep our grounds clean and beautiful, we cannot allow rice, confetti, glitter, silly string, silk or fake flower petals, and other difficult to clean items. Real flower petals, natural products, and bubbles are always allowed.

  • We offer a scissor lift rental for insured vendors for creative installs. Please have your vendor inquire if you are interested.

Insurance

  • We require that you obtain day-of event insurance prior to your event. There are many affordable plans available which can be found through an internet search and typically run from $99 - $200. Check for policies at Eventsured, EventHelper.com, or wedsure.com.

  • We also recommend purchasing event cancellation/postponement insurance to cover your potential losses for any unknown situation that could arise and give you need to cancel or postpone your event.

Noise limits

  • In order to keep the outdoors peaceful and respect our neighbors, we require that professional DJs be chosen from our vendor list and utilize our professionally designed in-house sound system.

  • The barn doors are required to close during dance music if a band is onsite.

Smoking Policy

  • Smoking of tobacco, marijuana, or other substances, is prohibited inside all buildings. Marijuana, in any form, is strictly prohibited in all areas of the Venue property.

  • Cigar bars and distribution of smoking materials to guests is prohibited
